Overview:

Salary: $40,000.00 - $41,000.00 annually, dependent on experience and education.

Schedule: Monday to Friday (no weekends), offering flexibility with shifts ranging from 4 to 9 hours per day or 1 to 4 hours per day.

Groups Recover Together specializes in outpatient addiction medicine, delivering comprehensive treatment for opioid addiction. Their care model integrates medication, weekly group therapy, and care navigation to aid individuals in rebuilding sober lives.

Responsibilities: Groups is seeking a detail-oriented and self-motivated Office Manager to provide administrative support to members, clinicians, and medical providers. The role involves overseeing daily office operations, scheduling, and facilitating meetings to support member recovery.

To be successful in this position, candidates should possess excellent communication skills, exceptional customer service abilities, and the capacity to handle high-stress situations with empathy and efficiency. Strong problem-solving skills, multitasking abilities, and a focus on maintaining positive relationships are essential.

Duties and Responsibilities:

  • Maintain office appearance and manage opening and closing procedures.
  • Greet and assist members and visitors, providing exceptional customer service in person, over the phone, and via video conference.
  • Handle administrative tasks such as answering calls, responding to messages, and troubleshooting tech issues.
  • Manage member flow in-office and during virtual meetings, including check-in/out procedures, payment collection, and prescription management.
  • Coordinate with medical providers to schedule appointments, address operational challenges, and ensure timely payment processing.
  • Maintain accurate member records in the EMR system and assist with form completion.
  • Collect insurance information, manage co-pays, and liaise with pharmacies to ensure medication availability.
  • Manage petty cash and assist with financial reporting.
  • Procure office supplies and ensure timely shipment of member supplies.
  • Strive to meet office-specific goals and maintain operational compliance.
  • Coordinate member medication counts, conduct health/safety drills, and adhere to compliance standards.
  • Engage in community relations activities by distributing promotional materials and attending relevant meetings.

Qualifications:

  • Preferably an Associate’s degree or equivalent experience, with a minimum of 2 years in an office administrative/coordinator role.
  • Previous experience in healthcare, retail, or hospitality is advantageous.
  • Proficiency in Google Apps and Microsoft Office suites.
  • Ability to troubleshoot minor tech challenges and prioritize tasks with minimal supervision.
  • Strong attention to detail and ability to handle confidential information.
  • Independent problem-solving skills and the ability to work both independently and as part of a team.
  • Exceptional customer service and communication skills.
  • Willingness to work evenings as needed to provide appropriate member care.
