Overview:

Salary: $40,000.00 - $41,000.00 per year, based on experience and education.

Schedule: Monday to Friday (no weekends), with flexibility for 4 to 9 hours per day or 1 to 4 hours per day.

Groups Recover Together specializes in outpatient addiction medicine, offering comprehensive treatment for opioid addiction. Their approach combines medication, weekly group therapy, and care navigation to support individuals in recovery.

Responsibilities: Groups is seeking an organized and self-motivated Office Manager to provide administrative support to members, clinicians, and medical providers. Key duties include maintaining office appearance, managing office operations, and promoting recovery-focused meetings.

To be successful in this role, candidates should be detail-oriented, professional, independent problem solvers with exceptional written and verbal communication skills. They must possess outstanding customer service abilities, empathy, efficiency, and the capacity to manage multiple priorities effectively.

Duties and Responsibilities:

  • Maintain overall office appearance and manage office opening and closing.
  • Provide exceptional customer service in person, by phone, and via video conference, assisting members with treatment-related issues.
  • Handle administrative tasks including answering calls, responding to texts and emails, and troubleshooting tech issues.
  • Manage member flow in the office and during virtual meetings, including check-in/out, payment collection, and prescription management.
  • Coordinate with medical providers on scheduling and member needs, ensuring timely payment processing.
  • Maintain accurate member information in the EMR and assist with electronic form completion.
  • Collect insurance information, manage co-pays, and liaise with pharmacies to ensure medication supply.
  • Manage petty cash and assist with financial reporting.
  • Order office supplies and ensure timely shipment of member supplies.
  • Drive positive outcomes by meeting office-specific goals and maintaining operational compliance.
  • Coordinate member medication counts, conduct health/safety drills, and adhere to office compliance standards.
  • Engage in community relations activities by distributing promotional materials and attending relevant meetings.
  • Perform other assigned duties.

Qualifications:

  • Associate’s degree preferred, or 2 years of relevant experience.
  • Minimum 2 years of office administrative/coordinator experience.
  • Healthcare, retail, or hospitality experience preferred.
  • Proficiency in Google Apps and Microsoft Office.
  • Ability to troubleshoot minor tech challenges and multitask with minimal supervision.
  • Strong attention to detail and ability to manage confidential information.
  • Independent problem-solving skills and the ability to work both independently and collaboratively.
  • Exceptional customer service, written and verbal communication skills.
  • Willingness to work evenings as needed.
